Start with the workload problem

Choose recurring tasks with a clear finished form. Include checking, correction, formatting and approval time, and stop or redesign a workflow that creates more oversight than it removes.

The workbook is designed for role- or team-level information. Do not enter pupil information, sensitive staff information or unnecessary personal data.

Run a focused four-step pilot

Audit the current task and source of friction, select a small number of low- or medium-risk workflows, test the complete process over several real uses, then review the evidence before deciding what to stop, change or support.

  • Before-and-after quality rating
  • Staff willingness to use the workflow again
  • Privacy, safeguarding, accuracy, bias or accessibility concerns

Use evidence to decide, not to manufacture a success story

The dashboard updates from the audit and pilot tracker. Its suggested outcomes support discussion; they do not approve a tool or replace professional judgement.

A useful review asks whether time was genuinely saved, quality was maintained, workload moved elsewhere and staff would choose to use the workflow again. The right decision may be to stop or redesign it.
