A starting point, not a policy to adopt unchanged
The pack helps a school or MAT move from broad principles to an agreed local approach. Replace every bracketed field, remove sections that do not apply and align the finished policy with safeguarding, data protection, acceptable-use, assessment and information-security arrangements.
Nominate an owner and involve the DPO, DSL, IT lead, curriculum or teaching-and-learning lead, staff representatives and governance before approval.
What the model policy covers
The editable policy separates helpful drafting support from uses that need explicit approval or should not be delegated. It keeps a responsible person accountable for the final work and increases checking as the consequence of an error rises.
- Approved and restricted uses
- Personal data, privacy and procurement
- Safeguarding and pupil-facing use
- Accuracy, bias, assessment and intellectual property
- Incidents, training, monitoring and review
Use the implementation pages to make it real
A policy becomes useful when staff know which tools and purposes are approved, what must be checked and where concerns should go. The pack includes a staff quick check, governor and trustee review prompts, an approval record and a practical implementation checklist.
This resource is not legal advice and does not replace advice from your DPO, DSL, IT lead, governing body or relevant professional advisers. Official guidance can change, so review the linked DfE and ICO sources when adapting it.
